Reference & Research SOP

Staffing

  • The Library Director or Service supervisor determines service staffing. Ask Us! shifts are based upon need and staff availability.
  • We will base staff selection for internal research projects on ability, availability, technical skills, and interpersonal communication.
  • We will evaluate workload distribution on an ongoing basis, with adjustments made whenever necessary and possible.

Overnight Service Standards

  • The Library Director or Service supervisor will ensure research and reference maintaining standards. This includes ensuring staff is well-trained, proper procedures are followed, and the staffing schedule is maintained.
  • Service standards will be regularly evaluated against a Service standards rubric determined by the Library Director or Service supervisor.

Communication and Meetings

  • Frequent communication among the staff is key to providing quality Service. Librarians will be available during their shifts to discuss Service issues and projects via messaging or collaboration software.
  • Mandatory quarterly one-on-one meetings will be scheduled to review service standards and performance.
  • Mandatory quarterly reference staff meetings will be scheduled to ensure that Service staff is provided with current operational changes/updates and given opportunities to discuss Service issues. Additional meetings can be scheduled as needed.

Substitutions and Covering Shifts

  • If a Librarian cannot cover their shift, they will first solicit coverage from other available Librarians. If no other librarian is available to cover the shift, the Service supervisor should request the substitution.
  • The Librarians are responsible for posting their hours and vacation/time off in the University Library calendar and updating it as needed.
  • If a Librarian cannot meet any internal project deadlines, the PM should be notified as soon as possible to ensure the research can be reassigned in time to meet the deadline.
