Alums are allowed one document purchase every 30 days. Note that if the student is within one year from his last class, he is still considered an active student even though he is not currently enrolled. Before requesting a document for an alumnus, ensure we haven't already ordered a document from Reprints Desk for them in the past 30 days. To do this:
Review the ticket to determine if the user is an alumnus. Within the ticket, click the lowercase igraphic next to the requestor's name to view more details about the ticket and the status field.
If the requestor is an alumnus, click the (User History) link. This will bring up a listing of all the tickets from that requestor. You must review each ticket to determine if we purchased a document from Reprints Desk. Note: If the name seems familiar, you can also search the Request a Document queue tickets using the Name field to see if there are multiple requests with the same name in case the requestor uses different email addresses.
If we have purchased a document from Reprints Desk for the alumnus, send them the appropriate macro, letting them know that their request cannot be ordered. If not, go ahead and order the document from Reprints Desk.
