Permissions Database SOP

Policies

  • YouTube
    • In most cases, the URLs from YouTube videos are not added to the database. Rather, the entry will be under the copyright holder's name and the URL field will be the copyright domain from the content © Owner field in Content: External Databases.
    • In some cases, a YouTube video request may not have a corresponding website domain or only the YouTube site is approved for use.
      • Add YouTube videos only to the task name.
        • e.g., Alila Medical Media - YouTube videos only
      • Include YouTube home page link in URL.
        • e.g., https://www.youtube.com/c/Alilamedicalmedia/featured
  • Common not allowed sites
    • The database contains some websites that have specific conditions or restrictions that may require referrals to the Linking Guidelines. Currently that includes (but may expand) YouTube, Harvard Business Review, and NIH PubMed.
  • Multiple sites affiliated with one domain (NEA.org)
    • When TOU and/or written permission approval applies to multiple sites or affiliates within one domain (e.g., NEA.org and NEA Members Benefits Corporation), input domain website name in the Task Name. In description, include applicable TOU language permitting use and affiliated links.
  • Third-party website tools
    • e.g., Canva, Coggle, Bubble.us, Lucidchart, Draw.io
    • Website tools where students need to create an account to access the information should be added to the course with caution, as our tech support may not be equipped to support students calling in with concerns regarding the external tool.
    • Third-party tools: Web Permissions
  • Sites with questionable credibility
    • If written permission has been provided, include it in the database under Allowed with conditions, with the condition being: "There is no affiliated website or additional information associated with this link. Credibility and reliability of this site have not been verified."
