Permissions Database SOP

Outcome

Outcome is based on the domain's terms. NOTE: in many cases the outcome will mirror the original permission request, but some may need to be adjusted accordingly. Allowed is often selected by the librarian in the original ticket, making it clear to the ID that the specific page can be linked to. When entering a website in the database, verify that the terms and/or approvals that are documented apply to the domain. For instance, a non-integral linking permission request may be marked as Allowed if there are no terms prohibiting linking, but the database entry outcome selection would be Allowed w/ Conditions since written permission was not requested/obtained and the terms did not explicitly allow for linking. The condition being that integral requests for that site would require seeking written permission.

  • Pending: Waiting on more information before a decision can be made. This should be rarely, if ever, used. A pending outcome is a non-answer for an ID verifying the allowability of a website.
  • Allowed: The website can be linked to without restrictions. It includes sites with specific linking language and sites with written permission.
  • Allowed w/ Conditions: There are restrictions on using this website. For example:
    • Usage is restricted to a specific page, or attribution must be applied to content.
    • Written approval includes conditions.
    • No TOU or restrictions in terms that prohibit linking to this site, but we do not have written permission.
  • Not Allowed: The website cannot be used due to written denial or TOU language that prohibits linking. Permission requests originally labeled Not Allowed: No response would also be entered into the database as Not Allowed. This is used to indicate that there was no response from the copyright holder to written request(s) in the past, however, additional requests can be sent. The description should include the dates of past written requests that were sent, but where no response has been received.
  • Not Allowed: Exists in the Library: This should not be used in the database. We are not tracking library content here.
  • Not Allowed: No response: This should not be used in the database. Instead, use Not Allowed.
  • EXCEPTION: see notes: This means that an exception has been made to use the website. This should be rarely used. Any time this is used, an explanation must be entered in the description section of the request.
    • e.g., Exception: The Khan Academy website is under review. It is not being added to new courses (v1). However, until a final decision is made, it can remain in courses that are being refreshed.
