Research & Curation Queue SOP

General Workflow

  1. Once the Initial Consult subtask is marked Complete, the Research & Curation task will be active.
  2. The staff member assigned to the Research & Curation subtask will conduct the research and set up a working Word document for the research output.
    • Review the task description and the CDG (linked in the task fields, when available) to determine needed resources.
    • On the CTL-University Library-Team SharePoint page, select LRR Documents on the left.
    • Click on the + New button and select Folder.
    • Enter the course name (no spaces or special characters; include the course version if you have it), for example: CJS200v2.
    • Click Create.
    • Within the newly created folder, click on + New and select Word document.
    • In the Word document File Name field, type the date (yyyymmdd), course name with version (same as Folder name), and Research & Curation. For example: 20251231 CJS200v2 Research & Curation.
    • Paste the Working Doc URL in the Working Doc fields of the Research & Curation and Content Review subtasks.
    • Enter Time Spent and mark the subtask complete when done.
  3. Once the Research & Curation task is marked complete, the Content Review subtask will be active. The staff member assigned to this task will review the research document.
    • Check publication years of sources to ensure recent research (unless otherwise specified or unavoidable).
    • Confirm that the complete citation is provided, the URL link is separated out (not embedded), and the abstract is provided if available.
    • Check to ensure the URLs are formatted correctly and permalink widgets utilized where needed.
    • Ensure the URL link is working and going to the full text of the correct article.
    • Ensure the articles are relevant to the topics, discussion questions, and/or assignments for each week.
    • Ensure the sources are organized by type (i.e. articles, videos, journals, searches, etc.).
    • Check for duplicate sources, if possible.
  4. The content reviewer will save the final work product following review as a new Word document named with course name with version (same as Folder name), Research & Curation, and FINAL. For example: CJS200v2 Research & Curation FINAL.
  5. The content reviewer will share this Word document with the ID by uploading the document within a new parent task comment.
    • Inform the ID of any specific details that they should be aware of regarding the research.
    • Ask the ID to let you know if any further research is needed once they have a chance to review the research document.
  6. The content reviewer will set the Library Status field to ID/Requestor Review. The staff member managing the research queue will take over from here, communicating with the ID and assigning further tasks if needed.
  7. If the ID requests further research, the staff member managing the research queue will follow these steps:
    • Enter .25 for Time Spent in the ID Review: Working Doc subtask.
    • Set the ID Review status in the ID Review: Working Doc subtask to Changes Needed.
    • Assign the Research & Curation (2), Content Review (2), and ID Review: Working Doc (2) subtasks with due dates as appropriate to the changes requested.
    • Change the parent task’s Library Status field from ID/Requestor Review to Research/Content Review.
    • Repeat these steps as needed for any additional research requests, creating repeating sets of the above three subtasks as appropriate.
  8. Once the ID confirms that no further research is needed, the staff member managing the research queue will follow these steps:
    • Enter .25 for Time Spent in the ID Review: Working Doc subtask.
    • Set the ID Review status in the ID Review: Working Doc subtask to Approved.
    • Delete the Research & Curation (2), Content Review (2), and ID Review: Working Doc (2) subtasks from the parent task if they were unassigned and not used.
    • Change the parent task’s Library Status field from ID/Requestor Review to Task Finalization.
    • Assign yourself to the Task Management subtask with a Due Date within 0-2 days.
    • After entering Time Spent in the Task Management subtask, mark as Complete.
    • Change the parent task’s Library Status field from Task Finalization to Complete.
